Introduction
Many of our clients need to share dossiers with end customers, partners or even colleagues as part of their daily workflow. To support this, our platform offers several export and sharing options. Depending on your requirements, you can either download the dossier as a file or share it directly through a link.
This flexibility ensures that the right format is always available, whether for offline use, detailed analysis, or a polished online presentation.
All sharing options are available when choosing the blue "Share" button on top of each dossier.
Table of contents
1. Share as PDF
PDFs provide a convenient way to share dossier content in a polished, offline-ready format. To create a PDF, click the blue “Share” button in the platform, and then choose "Share as PDF".
There are two types of PDF functionality available: an older version and a newer version. The look, feel, and customization possibilities differ between these two options.
⚠️ Please note: New PDF features require a specific setup and may not be available in your current configuration. If you don’t see the option in your account, please reach out to your account manager to discuss activation.
Both PDF versions are generated from templates. You can select the version and the templates upon PDF creation:
Standard templates are available out of the box, and users can also create their own templates for personal use. Admin users have the ability to create company-wide templates that can be used by all colleagues.
More information about template creation can be found here:
PDFs can be exported at several levels depending on your needs:
a dossier,
individual units within a building
complete buildings
2. Share as link / Property Page
⚠️ Please note: These link sharing features require a specific setup and may not be available in your current configuration. If you don’t see the option in your account, please reach out to your account manager to discuss activation.
Sharing a dossier via a link is a fast and convenient way to give access to the content online. Instead of downloading a file, recipients can view the dossier directly in their browser.
There are two link-sharing versions available, each with different features and presentation styles.
Old version - Property Page:
A Property Page is a web page created from a dossier and then converted into a landing page, optimised for your customers or prospects. Its design is specifically tailored for viewing on tablets or mobile devices during customer appointments.
Property Pages have a standardized layout with some customization options:
Property Pages are created as shareable link, that can be copied and communicated via email or any other messenger. The link can be accessed according to the expiration date selected in the setup.
- New version - Web Page:
Web Reports are also created from a dossier. They are an optimised, redesigned version, created to be more visually appealing, made more flexible and customisable, and enable you to create a new generation of digital reports.
You can find all relevant information for the new web reports in this article: How to use the new digital reports?
Property Pages are available for dossiers only. Web Reports are available for dossiers and portfolios.
3. Full dossier
The full dossier is a URL link to the dossier in a view-only mode. The link can be opened and viewed in a browser and shared with any third party who does not have direct access to the platform.
The interface and data shown in full dossier links are the same as in the original dossier. Anyone with the shared link can view all information and dossier sections, as well as download data (if the option is enabled).
Creating a full dossier link comes with the following options:
- Selection of how long the link should be valid ("Share dossier for").
- Selection if a user who has access to the shared link can download PDFs or not
- Selection if the PDF download should be for a new or an old PDF template and which one
4. Share as Excel file
For more advanced data handling, some platform content can also be exported as Excel files. This option is especially useful when working with large sets of property data or when further analysis and processing are required outside the platform.
Excel files can be exported at several levels.
